Challenge
Small and medium businesses across Europe face a common operational challenge: their financial operations are fragmented across a dozen disconnected tools. Expenses are tracked in spreadsheets, invoices managed in a separate application, payroll handled by standalone software, and multi-currency bank accounts monitored through individual banking portals. Each system operates in isolation — an expense recorded in one tool never reaches the budget tracker in another. Currency conversions between EUR, BGN, USD, and GBP require manual calculation, introducing errors and delays. Payroll presents a recurring monthly burden. Managers coordinate shift schedules through messaging apps, calculate bonuses manually, and reconcile figures across multiple sources — a process that becomes significantly more complex when hospitality and construction staff require different bonus formulas based on shift type, day of the week, and revenue performance.
Employees, meanwhile, have no visibility into their own schedules or compensation — they rely on phone calls to management or printed schedules posted on walls. Receipts accumulate without a proper audit trail. Budgets, once set at the beginning of the year, are never revisited because no system links planned expenditure to actual transactions. Cash flow forecasting is non-existent — business owners discover their financial position only when bank statements arrive. When leadership asks for a current financial overview, the answer requires days of manual data gathering and reconciliation across multiple platforms. Existing all-in-one solutions were either priced for enterprise organizations, too inflexible to accommodate the complex scheduling and compensation structures that service industries require, or so complicated that non-financial staff could not operate them without extensive training.
Solution
DSX designed and built Finsense as a comprehensive financial management platform that consolidates twelve categories of business operations into a single system. The platform provides complete expense and income tracking across 35+ currencies with automatic daily exchange rate updates, professional invoicing with client management and customizable document templates, and multi-currency account management with secure inter-account transfers. Budget planning supports monthly, quarterly, annual, or custom periods with real-time variance analysis that compares planned expenditure against actual spending — always current, never outdated. Cash flow forecasting projects future positions based on historical patterns with scenario planning capabilities. Shift scheduling operates through a visual weekly calendar with template-based assignment, bulk scheduling, and integrated leave management. A dedicated Staff Portal gives employees mobile access to their own schedules and payslips without requiring administrative credentials. Payroll calculation runs automatically from schedule data, supports four distinct bonus calculation methods with day-of-week and shift-type targeting, and follows a structured draft-to-confirmed-to-paid workflow with PDF payslip generation. Document scanning captures receipts and invoices with automatic data extraction and duplicate detection.
Loan management tracks repayments with principal and interest separation tied to the appropriate accounts. Recurring transactions operate on configurable schedules. The platform includes a business intelligence layer with 17 customizable dashboard widgets providing real-time aggregated data, along with detailed expense, income, profit, and calendar reports — all with multi-dimensional filtering by supplier, account, currency, and date range. Every figure updates in real time as data enters the system, eliminating the need for manual exports or reconciliation. Access control provides 243 granular permission settings across 22 categories, enabling precise control over data visibility down to individual accounts and dashboard components. The interface is available in 10 languages and all data is encrypted and hosted in EU data centers. Finsense is a dynamic platform designed to adapt to any business, regardless of industry. The system was tested and refined across eight sectors — construction, retail, IT, healthcare, hospitality, manufacturing, finance, and professional services — but its flexible architecture allows any company to configure it around their own processes and needs.
